The Cloud R&D team is seeking a technical administrative assistant to assist us with a wide variety of responsibilities. This role is instrumental in helping us work more efficiently and effectively.

Cloud R&D has teams based in SF, Palo Alto, Denver, Santa Monica, Seattle, NYC, Toronto, London, and Dublin. As the Palo Alto technical administrative assistant, you will be expected to support team members in all locations but will be primarily working with those located in our Palo Alto office. 

To make sure you start your day energized, we provide a catered breakfast every weekday morning, and unlimited snacks and drinks are of course available all day. Our collaborative, open-plan office space is filled with talented people who enjoy taking advantage of our weekly Tech Talks and hanging out with their colleagues.

 

 

Your Day

Monitor and respond to the internal support ticketing system 

Responses may include the following types of tasks:

Administration of user accounts on a variety of services

Coordinate with corporate IT on requisitioning equipment and space for the engineering teams

Coordinate with various vendors and our internal finance team on matters related to billing and account management

Be a liaison between Cloud R&D developers, leadership, and other teams in Pivotal

Manage the internal team mailing lists, accounts, and services

Assist with scheduling and coordinating office events, meetings, and off-sites

Coordinate and assist with food orders

Manage purchasing for R&D teams

Draft documentation around processes, best practices, and communicate across the R&D org

Provide general office support to help our teams do work more efficiently 



KNOWLEDGE, SKILLS, AND ABILITIES:

Strong customer service skills to successfully build positive relations and provide quality service

Attention to detail and ability to manage multiple and competing priorities with superior follow-through and ownership, often without daily oversight

Outstanding communication, organizational and problem-solving skills; initiative, creativity, and flexibility

Discretion and mature judgment in the handling of sensitive and confidential information

The ability to anticipate needs

Comfortable working with staff at all levels of an organization

 Interest in learning how to use and manage new services and software

 Enjoys working and collaborating with others 

 

EDUCATION/EXPERIENCE:

1-3 years of receptionist/administrative experience in a fast-paced environment

A bachelor's degree is preferred
